Create custom emails using IU Salesforce Marketing Cloud

We encourage our departments and programs to utilize IU's Salesforce Marketing Cloud to create mobile-friendly and IU-branded emails. This tool provides a set of templates that allow your group to create a variety of email correspondence, including basic newsletters, event announcements, and more.

IU Communications coordinates the individual unit licenses for the Marketing Cloud, and they are free for AY 2017/18. UITS, in conjunction with IU Communications, will determine on an annual basis whether to keep the licenses free. IU Communications/UITS will inform any Marketing Cloud license user in advance should charges ever apply.

Types of email you can send

You will be able to build your own list(s) in the Marketing Cloud, and there are many IU-branded email templates to choose from. You can use the email templates to send information about events, lectures, deadlines, news, courses, etc., to your affiliated lists without consulting with a College office.

When you build your own emails, always include “College of Arts + Sciences” in the address space at the bottom of the emails.

There are times when you do need to consult with a College office before sending an email.

  • If you wish to send an undergraduate recruitment email to students outside your department/program, you will need to consult with the College’s Recruitment Office. Contact: Scott Lemmon, director of recruiting,, along with our office.
  • If you wish to send an alumni email, you will need to consult with the College’s Advancement Office. Contact: Raymond Fleishmann, director of advancement communications,

Request your Marketing Cloud license

You will need two (one as a back-up). Departments and programs should apply for the Marketing Cloud only option (package 2), and not Marketing and Service Cloud. The Service Cloud provides access to IU’s list of all students and alumni and is permitted at the School level only.
